How to create an HVAC asset register for maintenance
A well-organised HVAC asset register helps facilities teams arrange servicing, manage compliance and reduce delays during call-outs.
An accurate HVAC asset register gives your facilities team a clear record of every heating, ventilation and air conditioning asset across your buildings. Instead of searching through old invoices or walking around the site to identify equipment, staff and contractors can find the right information quickly.
Whether you manage one commercial property or several sites, a structured register can make planned maintenance, compliance checks and emergency call-outs more efficient. It also gives engineers useful background information before they arrive, helping them prepare the right parts and equipment.
Start with a complete equipment list
Begin by walking each site and recording every relevant HVAC asset. Include main plant such as boilers, air conditioning systems, air handling units, ventilation fans, pumps and heat pumps, as well as equipment that is often overlooked, including extract fans, fan coil units, controls and associated pumps.
Give each asset a unique reference, such as AC-001 or AHU-003. The reference should stay with the equipment throughout its life, even if the building changes hands or the system is serviced by a different contractor.
Exact location, floor, room or plant area

Installation date, warranty details and replacement history
Recommended service interval and last service date
Filter sizes, control points and isolation points
For air conditioning and refrigeration equipment, also record the refrigerant type and charge where this information is available. These details can support F-Gas records and help a contractor understand the system before carrying out maintenance or fault-finding.
Record details that support servicing
Location information should be specific enough for someone unfamiliar with the site to find the asset. Rather than writing “office air conditioning”, use a description such as “first-floor meeting room, indoor unit above the east wall, outdoor condenser on roof plant area”.
Record the position of electrical isolators, local controls, valves and other isolation points. Note whether access requires a key, permit, ladder, roof access or an escort. These practical details can prevent avoidable delays and help the facilities team plan safe access before a visit.
For filters, include the dimensions, quantity and type where known. This allows replacements to be ordered in advance and is especially useful when multiple air handling units or ventilation systems use different filter sizes.
Include warranty and compliance information
Add the installation date, commissioning information, warranty expiry date and the company responsible for the warranty where applicable. Keep links or references to commissioning sheets, manufacturer manuals, F-Gas records, service reports and remedial work orders.
The register should not replace formal compliance records, but it should point users to them. A clear document trail makes it easier to demonstrate that equipment is being maintained appropriately and that follow-up actions have not been lost.
Use clear labels on every asset
Attach a durable label to each item showing its unique asset reference. Labels should be suitable for the environment, particularly in plant rooms, roof spaces, kitchens and outdoor areas where heat, moisture or cleaning chemicals may damage ordinary stickers.
Place labels where they can be seen without dismantling equipment or entering an unsafe position. For ceiling-mounted units, a nearby accessible label may be more practical than placing one directly on the casing. If an asset is part of a larger system, label both the individual item and the system it serves where this helps prevent confusion.
Take a clear photograph of each asset and its label. Add wider location photographs for concealed equipment, roof plant and grouped units. Images are particularly helpful during emergency call-outs and for sites where several similar models are installed.
Choose a record system your team will use
A shared spreadsheet can be a sensible starting point for a smaller portfolio. Use one row per asset, agree consistent naming conventions and restrict editing rights so that key information is not accidentally overwritten. Store it in a controlled shared drive rather than on one person’s computer.
A CAFM system is more suitable for larger or multi-site operations. It can connect assets to planned maintenance tasks, service history, documents, locations and responsible staff. Whichever system you choose, include a clear owner for keeping the register up to date whenever equipment is installed, removed, relocated or replaced.

Keep a change date and name the person who updated each record.
Link service reports and manuals directly to the relevant asset.
Review the register during planned maintenance and site inspections.
Prepare useful information for contractors
Before a maintenance visit, send the contractor the site address, access arrangements, parking details, contact person and any permit or induction requirements. Include the asset list or relevant asset references, recent service reports, known faults, photographs and details of any areas that must remain operational.
For a call-out, explain the fault clearly and identify the affected room, asset reference, symptoms and times when the problem occurs. Mention alarms, error codes, unusual noises, leaks or loss of temperature, but avoid asking unqualified staff to remove covers or interfere with controls.
After the visit, update the register with the work completed, parts fitted, outstanding recommendations and the next service date. This creates a reliable history that supports better decisions when equipment needs repair, replacement or budgeting.
Keep multi-site records consistent
Multi-site operators benefit from a standard register template and a shared set of asset categories. Give each site a short code and combine it with the asset number, such as CAN-AC-014, so equipment can be identified immediately in central records.
Carry out a review at least annually, and sooner after refurbishment or a change of maintenance provider. Comparing assets, recurring faults and service costs across locations can highlight opportunities to standardise equipment, improve energy performance and plan replacements.
